Privacy & Data Protection

Professional hospitality operations with responsible data handling and confidentiality standards across every property, client, and workforce relationship we manage.

Effective DateJanuary 1, 2026

Trust is the foundation of hospitality operations. Discretion, confidentiality, and disciplined data handling are operational standards at Hearty Helper — not afterthoughts.

Introduction

Hearty Helper Co., Ltd. ("Hearty Helper," "we," "our," or "us") provides integrated hospitality operations across Phuket — cleaning and property care, commercial laundry, hospitality staffing, villa and Airbnb turnover, and enterprise partnerships. Operating in hospitality means we are entrusted with sensitive information every day: property details, guest-facing standards, staff records, and client confidentiality.

This Privacy Policy explains how we collect, use, store, protect, and disclose personal information in accordance with the Thailand Personal Data Protection Act B.E. 2562 (2019) ("PDPA") and applicable international standards. By using our website, requesting our services, applying for employment, or engaging us as an operational partner, you acknowledge the practices described in this policy.

Thailand PDPA Compliance

We comply with the Thailand Personal Data Protection Act (PDPA) as our governing privacy framework. This means we process personal data only on lawful bases — contractual necessity, legitimate operational interest, legal obligation, or your explicit consent.

  • Personal data is collected only for clearly defined operational purposes.
  • Data subjects are informed of how their information will be used.
  • Consent is obtained where required, and may be withdrawn at any time.
  • Cross-border data transfers follow PDPA safeguards.

How We Use Information

Information is processed exclusively for operational, contractual, and legal purposes:

  • Delivering cleaning, laundry, staffing, and turnover services.
  • Coordinating field teams, scheduling, and dispatch.
  • Quality assurance, inspection reporting, and client communication.
  • Workforce vetting, training, payroll, and compliance.
  • Invoicing, accounting, and tax obligations.
  • Improving operational systems and service standards.
  • Responding to inquiries and providing client support.

Cookies & Website Analytics

Our website uses cookies and similar technologies to ensure proper functionality, remember preferences, and analyse traffic patterns. You may disable cookies in your browser settings, though certain website features may be limited. Aggregated analytics do not identify individual visitors.

Third-Party Services

We engage trusted third-party providers strictly for operational execution — including cloud hosting, messaging platforms, payment processors, accounting software, and recruitment tools. These providers are contractually bound to protect data and process it only on our behalf.

We do not sell, rent, or trade personal information. Disclosure to third parties occurs only when required to deliver services, comply with law, or with your explicit consent.

Data Retention

Personal data is retained only as long as necessary for the purposes outlined in this policy or as required by Thai law (including tax, labour, and commercial recordkeeping obligations). Operational records — photos, QA logs, communications — are typically retained for the duration of the client relationship plus a reasonable archival period. Staffing applicant data is retained for active recruitment cycles and then securely destroyed unless consent is given for longer retention.

Data Security

We apply organisational, technical, and physical safeguards proportionate to the sensitivity of the information we hold:

  • Access controls and role-based permissions for operational systems.
  • Encrypted communications and secure cloud infrastructure.
  • Confidentiality agreements with all staff and contractors.
  • Operational training on data handling and client confidentiality.
  • Restricted access to property keys, codes, and sensitive instructions.

No system is absolutely secure, but we continuously review and strengthen our practices in line with industry standards.

Information Disclosure

We disclose personal data only: (a) to authorised personnel and contracted service providers required to perform their duties; (b) to clients receiving operational reports relevant to their property or contract; (c) when legally compelled by Thai authorities, courts, or regulatory bodies; or (d) with your explicit consent. We do not disclose guest information, property access details, or client commercial terms to unrelated parties.

Staffing & Workforce Privacy

For staffing applicants and contracted workforce, personal data is used exclusively for recruitment, deployment, payroll, training, statutory reporting, and ongoing employment management. Applicants may request access to, correction of, or deletion of their data at any time, subject to legal retention requirements.

Operational Confidentiality

Hearty Helper treats all client property information — access codes, keysafe locations, owner identities, guest schedules, commercial terms, and operational documentation — as strictly confidential. Confidentiality is enforced through written agreements with every member of our workforce and embedded in our standard operating procedures.

Your Rights Under PDPA

As a data subject, you have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion or anonymisation, subject to legal obligations.
  • Object to or restrict certain processing activities.
  • Withdraw consent where processing is based on consent.
  • Request data portability where technically feasible.
  • Lodge a complaint with the Thai PDPC.

To exercise any of these rights, contact us using the details below. We will respond within the timeframes required by PDPA.

Limitation of Liability

While we apply rigorous safeguards, Hearty Helper cannot guarantee absolute security against unauthorised access, loss, or misuse by external parties acting unlawfully. To the maximum extent permitted by Thai law, our liability for any data-related claim is limited to direct damages arising from proven negligence and is subject to the limitations set out in our service agreements.
